The platform
Provelis runs on SmartImage.
We did not build a document platform. We use one that has been in production in South Africa since 2014, and we run the function around it.
What it does
Four capabilities, all of them in production.
Capture
From scanners, from mailboxes, and from electronic documents directly. Scanning is one intake route among several, not the whole story.
Classify and index
Rules based classification and metadata extraction. Deterministic and explainable: you can always see why a document was filed where it was.
Store and retrieve
A managed repository with retrieval views built around a specific job, rather than a single search box over everything.
Track the physical
Chain of custody for original paper, linked to the scan, so the two never drift apart.
Straight about the technology
What it is, and what it is not.
Most platform pages are written to make the software sound larger than it is. This one is written so that nothing on it falls over when your IT manager asks a second question.
It is not an AI product
Classification and extraction work on rules and pattern matching. There is no model being trained on your documents, and no answer that cannot be traced back to a rule you could read. For regulated work that is the right trade: an auditor can be shown why, which is not true of a system that has learned a preference it cannot explain.
Handwriting is read by SI Vision
Handwritten content is handled by SmartImage's own engine. Accuracy on handwriting varies with the hand, and anyone who quotes you a single percentage for it is quoting a number from a test set rather than from your documents. The assessment samples yours.
There is no workflow engine
Routing, approvals and transmittal chasing are done by your document controller and recorded. A workflow engine is on SmartImage's roadmap. It is not in the product today and we do not sell it as though it were.
Retention, legal hold and disposition are not in it
The platform keeps everything and records everything. It does not enforce a retention period or destroy anything on a schedule. This is the claim most often made loosely in this market, and we are not going to make it.
